This Privacy Policy explains how Empower Automation ("we", "us", "our") collects, uses, and protects your personal information. We are committed to ensuring your privacy is protected and are fully compliant with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Privacy & Analytics

We value your privacy above all else. We use a privacy-focused implementation of Google Analytics 4 to understand how visitors interact with our content and to improve our services. This data is processed anonymously, and we do not use trackers that identify you personally across different websites.

2. The Data We Collect

We only collect information that you voluntarily provide to us via our contact forms or email. This typically includes:

  • Identity Data: Name.
  • Contact Data: Email address.
  • Project Data: Information about your automation needs or business processes that you choose to share.

3. Security Data Collection

To protect our business and clients from malicious activity, we collect technical metadata (including IP addresses, device identifiers, and behavioral analytics) upon form submission.

Lawful Basis for Processing: We process this data under the GDPR lawful basis of Legitimate Interests. It is necessary for enabling us to identify and prevent fraud, harassment, and unauthorised access to our systems. This data is retained for legal evidence purposes where necessary.

4. How We Use Your Data

We hate spam as much as you do. We will never use your contact details to send unsolicited marketing emails or newsletters. We use your data solely for the following purposes:

  • To reply to your specific enquiries.
  • To provide the automation services you have requested.
  • To enable the functionality of our automation tools (e.g., sending you your ROI calculation).

5. Data Retention & Destruction Policy

We operate a strict data minimization policy:

  • Enquiry Data: Personal information submitted via our contact forms is retained for a maximum of 1 calendar year for our business records, after which it is permanently deleted.
  • Client Project Data: Any sensitive data or access credentials provided to us for the purpose of building automations are used strictly for the duration of the project. Once the work is complete and you have signed off as happy, all access credentials and sensitive client data are destroyed immediately.

6. Data Storage & Security

Your data is stored securely using Google Workspace business-grade encryption. We act as the Data Controller for the information you provide. We do not sell, trade, or rent your personal identification information to others.

Under UK data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.
  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
